What Is the Mergado Agencies Extension?#

Mergado Agencies is an extension designed for managing online marketing teams, clients, and projects. It serves as a central hub that replaces cluttered spreadsheets and helps you stay on top of tasks and team members.

The extension is ideal for:

  • Marketing agencies — for tracking clients, projects, and internal workflows.
  • Freelance specialists — for organising collaboration with multiple agencies or clients.
  • Account managers and leadership — for monitoring workload, revenue, and team performance.

Pricing and billing#

Using the Mergado Agencies extension is completely free for Mergado Editor users, with no additional fees.

Usage is tied to one user in Mergado and is free regardless of the number of agencies, projects, or tasks created within it.

Since the extension is free, it has no trial period.

  • Agency — The main organisational unit, to which you invite other team members and within which you create projects for individual clients.
  • Client — A company or person for whom the agency provides services. Each client has contact persons, billing details, and other relevant information on record. A client can have multiple projects (e.g. different online stores or types of services) and can be assigned labels for easy portfolio segmentation.
  • Project — Represents, for example, a specific client online store or service that you manage for that client, and to which finances (budgets), responsible persons, team members, and specific tasks are attached. A project functions as a detailed information card that you can customise using custom fields to track exactly what you need.
  • Team member — A team member with their own access, assigned tasks, deadlines, and trackable workload.

Main features#

  • Client management — This feature provides a clear record of all contact persons and their billing details in one place. By adding custom fields, you can store specific information for each client — such as profile links, access credentials, or internal checklists. Labels also allow you to segment clients easily, for example into long-term or priority partnerships, making it easier to navigate your client portfolio.
  • Client projects — Each client can have any number of projects assigned, allowing you to manage different online stores or types of services separately. For each project, you can track its budget, assign responsible persons, and use a fully customisable card with custom fields for maximum clarity. Custom fields can be of various types — from checkboxes to long text — and can be set as required to maintain high data quality.
  • Tasks and templates — The extension allows you to assign specific tasks with a clear deadline, estimated effort, and a link to a specific project and team member. Task templates are available to streamline the entry of recurring activities, and labels can be assigned to tasks for greater clarity.
  • Agency overview — Gives leadership and strategic management a complete view of the current workload of all team members and the total volume of work in progress. The overview also includes useful revenue statistics and a breakdown of individual services, helping to evaluate the overall team’s performance.
  • Filtering and quality control — The tool offers advanced filters that help you instantly identify incompletely filled-in projects or tasks without a set deadline. This feature is ideal for keeping all data in the system up to date and for early identification of inactive clients that need extra attention.
  • Team collaboration — Each team member has their own user access and can be invited to the agency directly from the extension interface. Permissions can be shared within the agency, so all collaborators see the relevant information and have an overview of the tasks they need to complete at any given time.
  • Document and contract generation — Directly within the extension, you can use the HTML editor to create custom contract and document templates. Templates can use system or custom variables that you populate with a specific client’s data, and the resulting contract can be downloaded as a PDF.
  • Fakturoid integration — This feature allows you to automatically generate invoices for clients based on data recorded directly in Mergado Agencies. A few clicks is all it takes to send an invoice to your Fakturoid account, significantly reducing the time spent on manual document preparation.

Working in Mergado Agencies#

Activate the extension in Mergado Store by clicking the I want to activate button. After activation, you can create an agency or accept an invitation to join an existing one.

In the Mergado Agencies interface, you will see two main sections in the menu — Agencies and Invitations.

Agencies#

The Agencies section contains a list of all agencies you have created or been invited to. Create a new agency by clicking the New agency button.

Clicking on a specific agency opens its detail view with the following tabs for complete management.

1. Overview#

This tab shows each user a list of their currently assigned tasks.

2. Tasks#

This is where the day-to-day management of the entire team’s work and task assignment takes place. When creating a task, you define its name, responsible team member, project, and deadline. You can set an estimated effort for the task, which allows the system to automatically distribute hours across team members. Task templates are available for recurring activities and significantly speed up the creation of new projects and tasks.

3. Projects#

Projects represent specific online stores or services provided to a given client. Each project has its own card that you can fully customise using custom fields (e.g. short/long text, link, checkbox, or headings for clarity). You can edit custom fields by clicking the gear icon (next to the Create project button). Fields can be set as required, which serves as a quality control tool and ensures that no important information is missing for any online store. Each project has specific budgets and responsible persons attached.

4. Clients#

Contains a list of all companies the agency works for. Contact persons and billing details are all in one place. You can see how many projects you are working on for a given client, how many tasks they include, hours worked, and the total cost. Clients can be assigned specific labels for segmentation and clarity (e.g. “long_term_client”).

Directly on the client, you will find a printer icon that allows you to generate a contract or other document from a prepared template (in PDF format) with just a few clicks.

If you have set up the Fakturoid integration, you will also see an invoice icon on the client for automatically sending the invoice to your accounting system. The invoice is generated based on data recorded in the extension.

5. Team members#

This section is for managing human resources in the agency. You will see a list of all team members and can instantly see how many hours of work each person has assigned based on their tasks. Team leaders can easily check who is overloaded and who can take on new tasks.

6. Statistics#

Statistics are used to evaluate the financial and performance aspects of the agency. This section provides data on which services bring the most revenue to the agency. It also allows you to monitor team efficiency and the overall volume of work completed over a given period.

7. Settings#

This is where you configure and adjust general parameters for the entire agency. Settings are divided into several sections:

  • General, Services, and Labels — For the basic setup of how the agency operates and for client categorisation.
  • Fakturoid — Used to connect to the Fakturoid invoicing system using API credentials (Client ID and Secret ID). Find out how to connect Mergado Agencies with Fakturoid.
  • Print — Contains an HTML editor for creating document templates (e.g. contracts) using system variables (%NAME%, %EMAIL%, %STREET%, %CITY%, %ZIP%, %COUNTRY%, %PHONE%, %ID%, %VAT%) or custom variables.

Invitations#

The Invitations section allows users to accept invitations to join existing agencies created by their colleagues or partners. Within a team, the agency profile only needs to be created once — other members can then be invited to join it. Each team member accesses the agency under their own name and account. Once a user accepts an invitation, they gain access to the agency’s projects, tasks, and clients according to the permissions assigned to them.

Can I be a member of multiple agencies at the same time?#

Yes. In the Agencies section, you will see a list of all agencies you have created yourself or been invited to by colleagues or partners. You access all agencies from your own Mergado user account.

How do I add a colleague to the agency?#

Invite a colleague directly from the Mergado Agencies interface in the Team members section → Invite team member. The invited colleague accepts the invitation in the Invitations section and, upon acceptance, gains access to the agency according to the permissions assigned to them.

Can every team member see everything, or can access to information be restricted?#

All agency members see the same data. Each team member accesses the agency under their own account.

What is the difference between a client and a project?#

A client is a company or person the agency works for. A project represents a specific online store or service that you manage for that client. One client can have multiple projects — for example if they run several online stores or use different types of services.

How many projects or clients can I have in the extension?#

The number of agencies, clients, projects, and tasks is not limited in any way. The extension is free regardless of the volume of data you manage in it.

What are custom fields in projects and clients used for?#

Custom fields allow you to tailor the project or client card exactly to your agency’s needs. You can add various field types — short or long text, link, checkbox, or heading for clarity. Each field can be set as required, ensuring that no important information is missing from any project.

What are labels and how do I use them?#

Labels are used for segmentation and maintaining clarity for clients and tasks. For clients, you can use them to mark long-term clients or priority partnerships; for tasks, to categorise by type of work. You can manage available labels in Settings → Labels.

How do task templates work?#

Task templates allow you to save a predefined structure for recurring activities and apply it easily when creating a new task. This saves time especially during new client onboarding or for regular monthly tasks that repeat across projects.

How do I find out who on the team is overloaded or who can take on more work?#

In the Team members tab, you can see an overview of all team members and the number of work hours they currently have assigned. The Statistics tab then offers a broader view of the volume of work completed and the overall team’s performance.

Can I also prepare contracts or other documents in Mergado Agencies?#

Yes. In Settings → Print, you create a document template in the HTML editor. The template can contain system variables (such as %NAME%, %EMAIL%, %ID%, %VAT% and others) that you populate with a specific client’s data when generating. You download the resulting document as a PDF directly from the Clients tab by clicking the printer icon on the relevant client.

Can I also generate invoices in Mergado Agencies?#

Yes. You can connect the extension to your Fakturoid account. Set up the integration in Settings → Fakturoid by entering the API credentials (Client ID and Secret ID) from your Fakturoid account. Once connected, simply click the invoice icon on the client and the extension automatically generates the invoice and sends it to your Fakturoid account.
