Changing the billing frequency for Mergado and its extensions#

How to get started with billing setup?#

Setting up billing in Mergado is straightforward and you can customize it to your needs. To get started, just log in to your account. In the User and billing details section, you can change your billing information, and in the Payment settings section, you choose the payment frequency — payments are made by direct debit from your credit card.

Step by step#

  1. On the Main page of your account, go to the User and billing details section. Fill in your billing information here.
  2. Go to the Payment settings section and choose the payment gateway (Stripe or GoPay) through which you want your credit card to be charged.
  3. In the same section, choose the payment frequency (Billing period):
  • 1 month — billing occurs once a month
  • 12 months — billing occurs once a year

When you change the payment frequency, the changes take effect on newly issued invoices.

Who can change billing and manage billing details?#

Billing in Mergado can only be managed by the user with the Owner role. This user has full access to all financial and billing matters of the online store.

Owner’s billing permissions#

  • Invoice responsibility: The Owner is responsible for billing details used when issuing an invoice. Invoices are always sent to the Owner’s email, or to the email(s) of the person or entity entered in the Billing email field in the User and billing details section.
  • Setting billing frequency: The Owner can change the payment frequency (e.g. to annual for a discount). This change is made in the Payment settings section.
  • Managing billing details: The Owner has access to edit billing details in the User and billing details section.
  • Viewing invoices: Only account Owners can find and download invoices. They have access to the Invoices section in their account.
  • Recurring payment: The Owner can set up or cancel recurring payments (direct debit) in the User and billing details section of their account.

Transferring Owner permissions#

If billing needs to be transferred to another user or entity, you can change the Owner role. This change is made for a specific online store in the Settings section, on the User permissions tab. The transfer takes effect when the new Owner accepts ownership in their account. The new Owner will start receiving invoices and will have access to the Invoices section, while the previous owner automatically gets the Write permission.

Permission levels in Mergado#

Mergado has three permission levels:

1. Owner: Billing for selected services is charged to this user/entity. Has full access to editing billing details and payment frequency. Can add/remove permissions for other users or entities for their online store. Can edit online store content.

2. Write: Can edit online store content but doesn’t have access to billing details and invoices. Cannot add or remove user permissions for the online store and can only see themselves and the owner.

3. Read: Has access to view the online store but cannot make any changes.

What are the benefits of annual billing?#

If you set up annual payment frequency, you get a significant financial discount:

  • 20% discount on the Mergado plan.

  • 20% discount on add-on extensions from the Mergado Store.

This discount applies to both new and existing customers. If you switch from monthly to annual billing, the discount takes effect at the next billing after the current prepaid period expires.

What are the billing options for add-on extensions?#

It’s important to know that billing for the Mergado plan and add-on extensions is linked. This means add-on extensions are billed at the same frequency as the Mergado plan. If you choose annual billing for the Mergado plan, your extensions will also be billed annually.

How to switch back to monthly billing?#

If you want to switch back to monthly billing, just change the payment frequency in settings (see How to get started with billing setup). However, you’ll lose the 20% discount on the plan and extensions. The change takes effect after the current prepaid period expires.

When is technical support needed?#

In some cases, you need to contact technical support:

  • Editing already issued invoices – If you need to change billing details or period on a proforma invoice, write to technical support.

  • Requesting overpayment transfer to the next billing period – If you don’t want an overpayment to be automatically refunded but want to use it for the next billing period.
